News From Your Board: April 19 Meeting Recap

There has been a long gap between our normal two-weekly Board meetings because we had our Spring General meeting on the 5 April and about that, you already know.

Not surprisingly, there was a lot to discuss, much of which was routine: recommendations for appointments to the University Tenure & Promotion Committee (UTPC), debriefing the Spring General Meeting and Bryan Tolson’s presentation to Senate about faculty hiring data (see the slides on our website), discussing representation from AHS on the Board, etc.

The interesting new topic was cycling on campus. There are some key people who have been strong advocates for biking and safe storage of bikes in particular. Johanna Wandel provided a summary of the current situation and a new pilot project that the FAUW will be supporting—we will share more about that soon. You’re also welcome to contact Johanna—and Parking Services!—with your thoughts on improving cycling on campus.

FAUW also agreed to provide financial support for an all-candidates debate (for the Kitchener-Waterloo riding only) that WLU has organized for May 16. Registration details will be posted on our website as soon as they’re available, and we encourage those interested to attend.

Finally, we are making progress on language in the Memorandum of Agreement (MoA) about performance rating histograms. Our original goal for these proved unduly complex and we are working on revisions that will balance transparency, privacy, and feasibility. Recommendations are forthcoming. On a related note, it seems as if some departments still do not have addenda to their Faculty performance review guidelines as per the requirements of the MoA. Even the decision to defer to faculty-wide guidelines needs to be made by the department on a biennial basis (this time ’round, before October 15, 2018) and yet this does not necessarily always occur. Again, we’ll have more on this soon.

What You Missed at our 2018 Spring General Meeting

We had a full agenda at our Spring General Meeting last week. Here are some of the highlights.

Bryan Tolson’s President’s Report included an update on current policy development and the messages shared with MPPs at OCUFA’s lobby day last month. View the President’s Report slides (PDF) (and our blog post about lobby day) for details.

Marcel Pinheiro delivered the Elections Committee report: The successful candidates from Arts, Engineering, Environment, Mathematics, and Science are, respectively: Alice Kuzniar, Paul Ward, Daniel Cockayne, Dan Brown, and Vivian Choh (read more about the directors-elect). Voter turnout was 33% in Arts, 26% in Engineering, and 29% in Science.

We received no nominations from members in Applied Health Sciences, so this position will be vacant until the Board can fill it by appointment.

Members approved the budget for 2018–19 and changes to the constitution regarding the role of past president, the executive committee, and the name and mandate of the Status of Women and Equity Committee—now the Equity Committee. The updated constitution is on our website.

Lead negotiator Benoit Charbonneau gave an overview of the salary negotiation outcomes and a crash course on how our salary structure works, which you can also get from our Faculty Guide page on salaries. A detailed explanation of the negotiation results was posted on our blog in February. Charbonneau also noted the members of the Lecturers Salary Working Group.

Dan Brown, one of our representatives to the fall break working group, gave an update on the fall break pilot project. Thank you to the 506 faculty members who participated in the survey that closed on March 30. We are reviewing the results now.

We introduced a couple of waste-reduction initiatives at this meeting: Thank you to everyone who brought their own plate and/or coffee mug, and to everyone for composting their pizza crusts and paper plates!

The next general meeting will be in December.

News From Your Board: March 22 Meeting Recap

As we approach the end of the winter term, the FAUW Board of Directors met to discuss a variety of important issues. We discussed the agenda and process for the upcoming Spring General Meeting (April 5th) and reviewed our draft budget for the coming year, which will be presented to the membership at the General Meeting.

Many Board members attended and/or participated in the President’s Luncheon on Academic Freedom. As a result, we discussed this event and its outcomes in depth (see our blog post on the event for more details). Going forward, FAUW respects the efforts made to host this event and the issues and discussion that it raised, but ultimately there is still much work to be done to clarify how Academic Freedom is exercised on campus. Further events and discussions with administration will be very welcome.

The Board had a lengthy discussion about the issues raised at the President’s Advisory Committee on Student Mental Health forum and report. FAUW strongly supports many of the recommendations of this report and is working to provide advice to our members on how to better support student mental health.

We also reviewed several issues raised by individual members. We are always open to addressing specific issues, and receiving direct feedback from the membership, so please get in touch.

News From Your Board: March 8 Meeting Recap

Collegial, yet occasionally salty, language ensued at our first meeting after reading week.

The Board received an update from Alan Macnaughton on discussions by the Responsible Investing Working Group, specifically on the possibility of divestment from fossil fuels. Alan indicated that conversations focus on integrating environmental, social, and governance factors in investment decisions, and that government regulations pose challenges to the possibility of divestment.

Of great interest was a quick analysis of data on the gender and appointment type of faculty hires from 2012–2017. We’ll be bringing a fuller analysis to Senate this spring, so stay tuned for more details.

The Board continued its discussion of the Policy Review Project, and of how best to ensure that policies that affect members’ conditions of employment are drafted with full FAUW participation.

Upcoming events and initiatives from FAUW include a survey of members about the fall break schedule (look for this later this month), a new faculty event at the Grad House on March 21 (2:30-4:30), and the Spring General Meeting on April 5 (QNC 2502 from 11:30 to 1:30). News From Your Board: February 15 Meeting Recap

There were two key items on the agenda at our February 15 meeting.

First, the Status of Women and Equity Committee (SWEC), a committee of FAUW, presented a recommendation to change its name to the Equity Committee. The Board supported this recommendation and the change will be put to our Spring General Meeting for approval as it involves a change to our constitution.

Second, the Board was advised that, on February 12, Renison University College faculty members voted to create a new faculty association and constitution, the Renison Association of Academic Staff. This is the first new faculty association in Canada in many years and we passed a unanimous motion congratulating our Renison colleagues. More details of how the relationship between the two associations will play out will be available in due course.

The balance of the meeting was spent addressing more routine matters, reviewing recent events, and planning future ones. The Board congratulated the Hagey Lectures Committee for a very successful event. We are planning a follow-up to the recent Council of Representatives meeting designed to hear more about matters of concern to members. Stay tuned for more on that soon. Finally, we continued a discussion on how we can enhance our role in advising potential faculty members in their decision to join the University.

News From Your Board: February 1 Meeting Recap

This mid-winter Board meeting kicked off with a discussion with the negotiating team about the details of the memorandum of salary settlement. As you have no doubt seen, this settlement shows evidence of the strong productive and collegial relationship between FAUW and the administration, and sets a positive foundation for future salary settlements. A well-deserved note of appreciation to the entire negotiating team for their tireless work on our collective behalf.

In addition to concluding salary negotiations, we are now entering a busy FAUW events season, with many exciting workshops, panels, and meetings over the remainder of the winter term. Of particular note are the upcoming Hagey Lecture, workshops on Navigating University Governance and Writing University Policy, the President’s Luncheon on Academic Freedom, and, looking further ahead, the Spring General Meeting and Tenure & Promotion workshops in April.

Ongoing topics included exam scheduling, specifically discussions with the Registrar’s Office to better understand the current timing of the release of the exam schedule, and the possibility of moving it earlier in the term. We feel that early release of this schedule will be a positive support for both student and instructor mental health.

The recently revealed ‘bug’ in Evaluate, the online course evaluation software used by the University to collect student course perceptions (which are in turn used to evaluate faculty for merit pay), caused much discussion. Though we applaud how the discovery of the bug was handled, there is much work to be done to develop a system of governance to guide the Evaluate project. We look forward to discussing how Evaluate will be used and its governance structure with the University and IST in the future.

News From Your Board: January 18 Meeting Recap

As winter term gets fully underway, the FAUW board met to share updates and discuss a number of important files.

First up was an update from lead negotiator Benoit Charbonneau. Meetings continue with the administration to find suitable common ground. If we don’t reach a settlement by February 1, we move on to mediation.

Next, Status of Women and Equity Committee (SWEC) member Nancy Worth brought forward terms of reference for the committee that refine and formalize its operating procedures and relationship with FAUW.

FAUW President Bryan Tolson and staff member Laura McDonald briefed the board on an academic freedom event that FAUW is planning with the administration. We are pleased with President Hamdullahpur’s plan to hold a campus-focused discussion to celebrate and bring clarity to the issue of academic freedom. You will receive an invitation to this event shortly.

Next we discussed what data the Office of Graduate Studies and Postdoctoral Affairs (GSPA) collects about graduate student completion times, and to whom this data is provided. The GSPA wants to know if faculty members would find it helpful to receive this data, for self-reflection and so we can identify errors. Discussions are ongoing.

We had an extended discussion about FAUW’s participation in the University-wide Excellence Canada exercise. So far, we have not seen a clear role for us to play, but discussion will continue at the Council of Representatives meeting on February 13.

In a moment of reflection, the Board assessed our progress on the goals we generated at our September retreat. While some key goals have seen substantial progress, there are still tasks ahead for the Board and broader FAUW community, including a survey of our membership.

News From Your Board: January 4 Meeting Recap

The boardroom was full of post-holiday/return-to-campus energy as the FAUW board sat down for the first meeting of 2018. A brief update on negotiations noted that a number of January dates have been set for the bargaining teams to meet.

We discussed the issue of equity among Canada Research Chair appointments across campus, with numerous comments on the Equity Action Plan released in December. If you have feedback, please comment below or email Bryan Tolson.

We also discussed the perpetual question of whether there is an optimal way to schedule final exams that better supports student mental health, and to have final exam schedules prepared earlier in the term. Discussions with the Registrar’s Office is ongoing and we hope to have an update in the spring term.

Additional conversations focused on the extent to which individuals on health leave are able to access on-campus resources and activities, for example faculty members continuing to supervise students while on health leave, or access to the Physical Activities Complex for graduate students on leave. This has been an issue in the past and has become relevant yet again. If you have feedback on this topic, please contact Paul Ward or Brent Matheson.

News From Your Board: December 6 Fall General Meeting Recap

The FAUW Fall General meeting is always an enjoyable time to get together with colleagues, discuss important issues in an open setting, and, of course, eat pizza and samosas. This year’s fall general meeting was no exception, with a lively crowd present. The meeting was chaired by Kate Lawson, with reports from president Bryan Tolson, treasurer Dan Brown, and the FAUW standing committees, including information on 2018 elections for six faculty representatives on the Board of Directors. Heidi Engelhardt gave a detailed report (PDF) on the Provost’s Advisory Committee on Student Mental Health (PAC-SMH), and is requesting feedback online.

On a lighter note, the winners of the FAUW Office Contest were revealed! Eight winners were selected for categories such as “Most Distracting Office,” “Most Spartan Office,” and “Most School Spirit.” Congrats to all the winners and everyone who submitted photos. I’m already at work on improving my office for a future contest by making my own custom desk (homemade furniture seemed to be a requirement for winning). I’m not sure what category this will qualify me for, but perhaps my plywood sheet balanced on milk crates could win for “Most like still being in grad school”?

Lastly, the floor of the General Meeting was opened for discussion. One main topic was who FAUW currently represents, and what various groups on campus FAUW could or should represent. Comparisons to other associations around the province were made, with some strong points about how research professors and sessional instructors should be represented. This is clearly a significant issue, particularly when considering precarious forms of employment. FAUW’s position on representation for these positions is currently under discussion, and work in this area is progressing.

News From Your Board – November 23 Board Meeting Recap

This is the time of year when we debrief our Council of Representatives meeting (November 14) and set the agenda for the Fall General Meeting (December 6). The former was very useful—thanks to all reps who attended. Interestingly, the exercise Shannon Dea (chairing the meeting) led reps through in terms of who knows what about FAUW and the University has informed our agenda setting for the General meeting. More later when the agenda is circulated.

Heidi Engelhardt reported back about her work on the President’s Advisory Committee on Student Mental Health. She chairs the Academic Panel. This is an important initiative and the discussion allowed for review of the interactions between this panel’s work and other initiatives on campus, and the Policy 33 review in particular.

Bryan Tolson attended a Canadian Association of University Teachers (CAUT) Council meeting in Ottawa this past weekend and some time was taken addressing issues expected to come up there.

Finally, with salary negotiations about to begin, our team (Benoit Charbonneau, Shelley Hulan and Dave Vert) is seeking guidance from the FAUW board on its mandate and, of course, it is best we treat these discussions as confidential. The team for the administration is, as with the last round, three deans but a completely new slate: James Rush (AHS), Pearl Sullivan (Engineering), and Steven Watt (Mathematics). Negotiations begin on December 1 and will run through the early months of next year. More on this in due course.
